Privacy Notice
This notice explains how Matt Dwen Photography ("Photographer") collects and handles personal information when arranging and carrying out a photography session. It forms part of the booking documents and applies to the Client and to everyone taking part in the session.
What is collected and why
The Photographer collects contact details, booking information, and photographs to:
- arrange and carry out the session
- communicate with the Client
- deliver photographs
- maintain backups and business records
If necessary information is not provided, the Photographer may be unable to arrange or deliver the services.
Who information is collected from
Information is usually collected from the Client, who is the main contact for the booking. The Client provides information about other participants, including children, and photographs are taken of everyone taking part during the session.
Storage and service providers
Information and photographs may be stored or processed using third-party booking, gallery, file-storage, and backup providers acting on the Photographer's behalf. These providers may store information in New Zealand or overseas. The Photographer takes reasonable steps to protect information from loss, misuse, and unauthorised access or disclosure.
Gallery access
Gallery access details are provided to the Client. The Client decides whom to share them with and should respect the privacy of the other participants.
How long information is kept
Information is kept for as long as reasonably needed for the purposes above or to meet legal obligations. Delivered photographs are kept in line with the file storage terms in the Photography Services Agreement.
Promotional use
Photographs are used for promotion, including entry in photography competitions, only with the separate, optional permission recorded in the Photography Services Agreement. That permission can be withdrawn for future use at any time.
Your rights
Any participant may ask to see, or to correct, the personal information the Photographer holds about them, or may raise a privacy concern. Contact the Photographer using the details below. If a concern is not resolved, a complaint can be made to the Office of the Privacy Commissioner (www.privacy.org.nz).
